Terms and Conditions

These Terms and Conditions (“Terms”) govern the registration and purchase of tickets for the IOBC-WPRS Meeting 22–25 November 2026 held at the Orthodox Academy of Crete, Greece (the “Event”). By placing an order, you confirm that you have read, understood, and accepted these Terms.
1. Organiser and Contracting Parties
The Event is organised in cooperation with REACT and IOBC-WPRS. Two separate contracting parties may be involved in your booking:
- Orthodox Academy of Crete, Kolympari 73006, Greece — for accommodation, catering, and conference services.
- University of Patras, 26504 Rio, Greece — for the non-member fee, where applicable.
2. Ticket Categories and Eligibility
- REACT+IOBC Meeting tickets — available exclusively to current REACT members. By booking this category, you confirm your active REACT membership at the time of booking. The organiser reserves the right to verify membership status. Bookings made by non-members in this category may be cancelled without refund.
- IOBC Meeting tickets member— available to IOBC members that are not REACT members.

3. Non-Member Fee
Participants who are neither REACT nor IOBC members are required to pay a separate non-member fee of 126 € (including 5% processing fee). This fee is not included in the ticket price and must be transferred separately to a dedicated account.
Detailed payment instructions for the non-member fee — including the recipient bank account — are provided in the order confirmation email and on the order confirmation page following completion of your booking.
4. Pricing and Payment
All prices are quoted in Euro (€). Prices include any applicable taxes unless stated otherwise.
Accepted payment method: Bank transfer only. No other payment methods (credit card, PayPal, direct debit, etc.) are accepted.
Payment deadline: All payments — both the ticket price and, where applicable, the non-member fee — must be received in full by 15 September 2026 at the latest. Bookings for which payment has not been received by this deadline may be cancelled without notice.
Bank charges: All bank fees are at the sender’s expense and must be added to the amount transferred to ensure the full ticket cost is received.
Payment reference: In your order confirmation you will recieve detailed instructions for which identifier(s)/reference(s) to use.
5. Confirmation of Booking
Your booking is finalised and confirmed only after full payment has been received on the relevant account(s). Until then, your reservation is considered provisional.
6. Cancellation and Refund Policy
Meeting Tickets are non-refundable once payment has been made. As the Orthodox Academy of Crete is a non-profit organisation, costs related to accommodation, catering, and conference services are committed in advance and cannot be reimbursed in case of cancellation. This applies regardless of the reason, including but not limited to personal reasons, illness, travel restrictions, or visa issues.
The non-member fee paid to University of Patras may be refunded upon written request in case of cancellation. Please contact office@oikoplus.com to request a refund of the non-member fee.
7. Substitution of Participants
If you are unable to attend, you may transfer your ticket to another eligible person free of charge by notifying the organiser in writing at michael.meissle@agroscope.admin.ch at least 3 days before the Event. The substitute participant must meet the same eligibility criteria as the original ticket holder (e.g. REACT membership for REACT+IOBC tickets).
8. No Right of Withdrawal for Consumers
Under Article 16(l) of the EU Consumer Rights Directive (2011/83/EU), the right of withdrawal does not apply to contracts for services related to leisure activities provided on a specific date or during a specific period. As Event tickets are bound to specific dates, no statutory right of withdrawal applies to ticket purchases. By completing your order, you expressly acknowledge this exception.
9. Cancellation or Postponement by the Organiser
If the event cannot take place as planned due to circumstances beyond the organiser’s reasonable control — including force majeure, public health restrictions, natural disasters, or governmental measures — the organiser reserves the right to postpone the Event to a later date.
Participants will be informed of any significant changes as soon as reasonably possible. Registration fees remain valid for the rescheduled Event.
The organiser shall not be liable for any additional costs incurred by participants, including travel or accommodation expenses not booked through the organiser.
10. Photo and Video Recordings
During the Event, photographs and video recordings may be taken and used for communication and dissemination purposes by REACT and IOBC (e.g. website, social media, conference reports). Use of recordings in which individual participants are recognisable requires prior consent, which can be given during the booking process.
11. Liability
The organiser’s liability is limited to intent and gross negligence, except in cases of injury to life, body, or health. Participants attend the Event at their own risk. The organiser is not liable for loss of or damage to personal belongings.
12. Data Protection
Personal data collected during the registration and booking process will be processed in accordance with the EU General Data Protection Regulation (GDPR).
For the purpose of organising and managing the Event, relevant registration data may be shared between the organising and supporting institutions involved in the conference, including OIKOPLUS GmbH (www.oikoplus.com), IOBC-WPRS (https://iobc-wprs.org/), Orthodox Academy of Crete (https://www.oac.gr/en/), and University of Patras (https://www.upatras.gr/en/).
Personal data will be used solely for purposes related to conference registration, event organisation, communication with participants, accommodation coordination where applicable, and associated administrative processes. Data will not be shared with third parties beyond what is necessary for the organisation of the Event.
13. Governing Law and Jurisdiction
These Terms are governed by Greek law. The exclusive place of jurisdiction for any disputes arising from these Terms, to the extent permitted by law, is Greece.
For consumers domiciled in the European Union, mandatory consumer protection provisions of their country of residence shall remain unaffected.
14. Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
